Role Overview
The Donations Management Team plays a crucial role in sorting and distributing donations, managing storage space, and ensuring fair distribution to those in need. Many of our community members have little or no income, and new arrivals in Swansea often have very few belongings. We are committed to providing essential items to support them.
Responsibilities
- Sorting and organising donated items, including clothing, toiletries, bedding, and household/kitchen essentials.
- Managing storage space efficiently to keep donations accessible and organised.
- Recording distributions using our monitoring paperwork to ensure fairness.
- Responding to community members’ needs and requests where possible.
- Being friendly, supportive, and understanding while ensuring donations are distributed fairly.
- Adhering to and assisting in the development of our fair distribution policies.
Skills and Qualities
- No prior experience is necessary—new volunteers will work alongside experienced team members to learn the process.
- A friendly, helpful, and understanding approach to supporting community members.
- Good attention to detail, particularly in following policies and monitoring distribution.
- Ability to communicate any challenges or concerns to the team to help improve our processes.
- Willingness to collaborate with others and contribute to the team rota.
- Volunteers are not expected to lift heavy objects alone, but physical fitness is needed to move donations between the storage area (upstairs) and the main drop-in space (downstairs).
Time Commitment
- Volunteers can help on a weekly, fortnightly, or monthly basis according to our donations team rota.
- This is a popular role, and we encourage as many interested volunteers as possible to get involved.

Volunteer Inductions
All new volunteers are invited to attend an induction session where they will learn about SASS, our mission, and key facts about the UK asylum system. The session also provides an overview of the different volunteer roles available, helping new volunteers find a role that best suits their skills and interests.
Volunteer Wellbeing & Feedback Sessions
To ensure volunteers feel supported and valued, we hold periodic wellbeing sessions where volunteers can discuss their experiences, provide feedback, and explore new opportunities within SASS. These sessions help us improve our work while creating a supportive and inclusive environment for all volunteers.
